The Biomedical Engineering Shared Laboratories uses iLab, an online system for reservations and billing for core service requests. PIs that have researchers who use the core’s services will receive email requests from researchers wishing to join their group. The request email will have specific instructions on how to approve the request. Without PI approval and assignment of funds, lab members will not be able to use our services.

Note: If a PI prefers to delegate these notifications/approvals to a member of their lab as a financial manager, review the instructions at the end of Section 1.

Note: To allow a collaborator at Texas A&M to use funds for core services, they must be added as a member of the PI’s lab. Please see instructions in Section 2.

Section 1: How to approve lab members and accounts

  1. Log in to the iLab website using NetID
  2. Click on left menu, hover over “my groups” and select the appropriate lab.
  3. To approve lab membership requests, select the “Membership Requests & Accounts” tab. New membership requests will show at the top of this page. Click “Approve” to accept a member into the lab. Click “Reject” if they are not a member of the lab.
  4. To assign an account number to a member of the lab, go to the “Membership Requests & Accounts” tab. Select the appropriate check boxes to the right of the member’s name for the account number(s) assigned to them. A spending limit may be set to where the member needs the PI’s approval before requesting services.
  5. To set the autoapproval threshold, go to the “Members” tab. This keeps the PI from having to approve service requests below a certain dollar amount. Enter the amount and click “save approval settings.”
  6. To designate a lab member as a financial manager, select the “Members” tab and click on the small pencil icon to the right of the member’s name. Change the role from “member” to “manager.”

Section 2: How to add a member from another lab

If a PI wishes to add a collaborator to use the PI’s funds for core services, the PI must add the end user from the collaborator’s lab as a member of the PI’s lab.

  1. In iLab go to the left menu, hover over “my groups” and select the appropriate lab.
  2. Go to the “Members” tab. In the “Lab members and settings” section click the “link existing user” button.
  3. Start typing the name of the person to add as a lab member. Select the person’s name from the list.
  4. Set the start/end dates for the new member and click “Invite.” The invited member will receive an email.
  5. The new member will then be able to use the PI’s account number for selected reservations or services through the iLab system.
